Agency operations
Recruitment agency reporting clients can actually use
A client shortlist should make the next decision easier. Sending a collection of CVs and unexplained scores transfers the administrative burden to the hiring manager. A more useful report explains the vacancy context, the evidence reviewed, the questions still open and the action the client is being asked to take.
Lead with the decision and the role version
State which vacancy is covered, the agreed requirements and the date of the review. Explain whether the report supports interview selection, clarification or another defined step. Identify material changes to the person specification since the previous report. A concise summary should orient a new reader without forcing them to search an email thread for the criteria against which applicants were compared.
Use a compact evidence table
For each applicant, show the application reference, relevant evidence, open questions and human review outcome. If you include a score, explain its meaning and limitations in ordinary language. Keep verification and safeguarding statuses separate where they apply. Mark fictional demonstration material clearly, and do not mix example applicants with a live client submission that could be mistaken for genuine recruitment records.
Control what leaves the workspace
Agree which client contacts need access and what information is necessary for their decision. NCSC cloud guidance includes separation between customers and protection of data in transit. Use that as a prompt to verify access boundaries and transfer arrangements rather than assuming a secure-looking dashboard makes every exported spreadsheet safe. Keep a record of exports and review shared access when a campaign closes.
Reconcile decisions with candidate communication
Ask the client for a clear response date and identify who will communicate each outcome. Keep pending decisions visible and record when a candidate has already been updated. Avoid sending a new rejection merely because a report was regenerated. A good close-out confirms that every application has an accountable status and that unresolved technical or communication issues have an owner.
