Candidate reply templates that protect your recruitment reputation

By MyValidCV · · 2 min read

Applicants should not have to guess whether their application arrived or whether a vacancy is still open. Consistent communication starts with ownership: someone must reconcile the application list with the message list. Templates help, but a template only protects your reputation when it reflects the correct person, role and reviewed stage of the process.

Write messages for each stage of the process

Prepare an acknowledgement, a delay update, an invitation and an outcome message. For example: Thank you for applying for the science teacher role. Your application is with our hiring team, and we expect to provide an update by the date stated in the advert. Replace that commitment if circumstances change; never include an update date that nobody is responsible for meeting.

Keep rejection language clear and proportionate

An adaptable example is: Thank you for your interest in this role and for the time you invested. Following our review, we will not be progressing your application for this vacancy. We appreciate your interest in our organisation. Add individual feedback only when a reviewer has checked it. Avoid unsupported statements about personality, future performance or why an algorithm preferred someone else.

Separate recruitment updates from marketing

GOV.UK’s recruitment records guidance says recruitment information should not simply be reused as a marketing mailing list. Keep application messages distinct from promotional campaigns and use the appropriate permissions and notices for each purpose. Acas also recommends telling interviewees when and how they will hear the outcome. Translate those expectations into workflow owners and realistic update dates.

Track approval, provider acceptance and exceptions separately

Preview the actual recipient and salutation before approval. Send each applicant their own message rather than exposing a group address list. Track failures and uncertain attempts for review, and avoid blindly retrying messages that may already have been accepted. A provider-accepted status is useful operational evidence, but it is not proof that the person read the message or that it reached their inbox.
