Bulk CV screening: organise batches without losing evidence

By MyValidCV · · 2 min read

A folder of CVs becomes difficult to manage when files, vacancy versions and reviewer notes live in different places. Adding AI to that folder does not resolve the underlying workflow. Start with a batch register that connects each application to a vacancy, its source document and the person responsible for reviewing it.

Create one identifiable batch per vacancy

Give the vacancy a stable reference and save the exact job description used for the comparison. Record receipt time, applicant reference and document version. Keep a replacement CV linked to the existing application instead of silently treating it as a new candidate. Where one person applies for several roles, maintain distinct application records rather than copying an old assessment into the next vacancy.

Reconcile files before running the comparison

Count the documents received, accepted for processing, rejected as unsupported and flagged as duplicates. Open a sample to check that readable text has been extracted. A scanned page or broken table may need attention before analysis. Route failures to an exception queue with a named owner; do not let a technical failure look like a candidate who provided no relevant evidence.

Review evidence, not just the sorted order

Use the ranked view as a starting point for review. Inspect the original passage supporting each material requirement and distinguish absent evidence from a confirmed lack of a skill. Review borderline and unusual applications alongside high-ranking ones. The ICO has highlighted risks in AI recruitment tools; an organised batch still needs checks on how personal information is used.

Close the loop with a reconciled outcome list

Before sending messages, account for every application: still under review, invited forward, withdrawn or ready for an outcome. Keep assessment status separate from email delivery status. An approved draft is not a sent message. Export only what a colleague needs and record the vacancy reference so a spreadsheet can be reconciled with the source system later.
