Cost control

Reduce recruitment admin costs without cutting review quality

By MyValidCV · · 2 min read

Recruitment administration includes more than reading CVs. Teams also rename files, find missing documents, chase decisions, correct exports and prepare updates. A useful cost-control exercise identifies this work before buying another tool. Measure a complete application journey, including exceptions and candidate communication, rather than timing only the fastest screening step.

Build a baseline from observed work

Choose a representative vacancy and record minutes spent on intake, extraction checks, review, communication and corrections. Separate active work from waiting time. Include the people who repair incomplete records, not just the recruiter who owns the vacancy. Use a small sample first, then check whether a busy or specialist campaign changes the picture before treating that sample as a dependable forecast.

Make the arithmetic explicit

For a hypothetical exercise, 100 applications taking 6 minutes each require 10 hours. At an assumed internal cost of £25 per hour, that activity costs £250 before software and exception handling. These are illustrative inputs, not a savings claim. Compare the same work after a pilot, and add subscription costs, training, review and any extra time spent fixing extraction errors.

Remove repeated work before automating decisions

Standardise file intake, the vacancy specification and reusable message drafts. Reduce duplicate analysis of an unchanged document against an unchanged role where your system supports safe reuse. Put uncertain cases in a visible queue rather than repeatedly reopening the entire batch. The government recruitment AI guidance encourages evaluation of supplier evidence; apply the same discipline to a vendor’s efficiency claims.

Use quality guardrails alongside cost measures

Track the share of applications needing correction, overdue candidate messages and reviewer disagreements. A lower cost per application is not an improvement if staff miss useful evidence or applicants receive the wrong outcome. Establish who can pause the workflow and investigate a deterioration. Review the total cost of a completed, human-reviewed application rather than celebrating a cheaper isolated model call.
